Goal

Last Updated / Reviewed: 11/13/2025 Execution Time: 45–90 minutes (including test)

Ideal outcome

Every new form lead receives 4 timed emails over 6 days; replies and bookings automatically exit the workflow

Why it matters

Warm new leads with timely value and clear CTAs while preventing over-messaging once a conversation or booking starts

Before you start

You need access to the client’s GoHighLevel sub-account with permissions for workflows. Refer to the SOP 286: GoHighLevel Lead Capture Form Setup (web version) to ensure all lead forms are properly integrated into your CRM. Refer to the SOP 276: GoHighLevel CRM Foundations (web version) to confirm tagging, custom fields, and pipeline stages are in place. Refer to the SOP 280: GoHighLevel New Lead Notification & Assignment (web version) to verify new leads are being correctly assigned before entering the drip campaign

1 Build workflow 11

  1. Go to "Automations" → "Workflows" → "Create Workflow" → "Start From Scratch".
  2. Name the workflow "Nurture | New Lead Drip (Form)" and add a trigger "Form Submitted". Set the filter to "Contact", then "yes". Click "Save Trigger".
  3. Open "Settings" (center) → toggle "Allow multiple opportunities" off, and turn on "Stop on Response".
  4. Go back to the "Builder" tab and add an action "Update Appointment Status" under the trigger. Set the status to "confirmed". Click "Save Action".
  5. Add another action "Send Email". Set the action name and subject to "Welcome to [Brand]! Here’s what to expect.". Click "Save Action".
  6. Add another action "Wait" and set it to 2 days. Click "Save Action".
  7. Add another action "Send Email" and set the action name/subject to "A quick tip to [solve X]". Click "Save Action".
  8. Add "Wait" action again and set it to 2 days.
  9. Add "Send Email" and set the action name/subject to "How [Client/Case] got [result]".
  10. Add "Wait" action again and set it to 2 days.
  11. Add "Send Email" and set the action name/subject to "Ready to [outcome]? Grab a spot.".

2 Test and QA 6

  1. Edit each "Wait" and temporarily change 2 days to 2 minutes. This makes it possible to test the timing in a few minutes instead of several days.
  2. Open the form and submit a test lead with your email. Confirm the first email action arrives in your inbox.
  3. Open "Execution Logs" and verify the contact advances through the steps.
  4. Book a test appointment on the target calendar and verify the contact exists at the "Goal".
  5. Reply to a drip email and verify the workflow stops due to "Stop on Response".
  6. Restore each "Wait" back to 2 days.

3 Activate and monitor 3

  1. Make sure to toggle on the workflow to "Publish".
  2. Monitor execution logs for errors and bounces during the first week.
  3. Verify booked appointments, remove contacts from the workflow.
