Setting Up Pipelines in GoHighLevel

Create a GoHighLevel pipeline with custom stages, optionally replicate it across sub-accounts, and set basic team-level visibility. This establishes the structure needed for future opportunity workflows.

Goal

Create a new pipeline with custom stages in the correct sub-account(s) and configure basic team-level access

Ideal outcome

Each target sub-account has a selectable pipeline with Lead → Discovery Call → Proposal Sent → Closed Won/Lost, and team users see only their items if restricted

Why it matters

To give each sub-account/team a clean sales view and prepare the CRM for downstream opportunity management and automations

Before you start

You need agency admin or sub-account admin access to the target sub-account(s). Refer to the SOP 276: GoHighLevel CRM Foundations (web version) to confirm pipelines, stages, and custom fields are aligned with your CRM structure

Key steps 11 steps

What is inside 15 headings

1 Create pipeline and define stages 2

  1. In the target sub-account, go to "Opportunities" → "Pipelines". Click "+ Create Pipeline".
  2. Enter a unique name (e.g., "Sales — Main"). Leave the default stages there as is and update it to "Lead", "Discovery Call", "Proposal Sent", "Closed Won" and "Closed Lost". "Click "+Add stage" to add a stage then "Create".

2 Configure basic user permissions 3

  1. Go to "Settings" → "My Staff". Click "Add User".
  2. Once user info is added, go to "Roles & Permission", check "Restrict data visibility to only assigned data" only.
  3. Depending on business needs, scroll down to "Opportunities", check or uncheck opportunities management method(s) and click "Save".

3 Verify pipeline selection and visibility 2

  1. Go to "Opportunities" and check stage order. You should see the stages in this order: Lead → Discovery Call → Proposal Sent → Closed Won → Closed Lost.
  2. Have a rep with "Restrict data visibility to only assigned data" log in and open "Opportunities".

4 [Optional] Additional pipelines (teams and other sub-accounts) 4

  1. In this sub-account, create a team-specific pipeline (e.g., "Sales — East Team") using the same stages and order.
  2. Repeat for each additional team (e.g., "Sales — West Team").
  3. To replicate across sub-accounts: open the next sub-account and go to "Opportunities" → "Pipelines".
  4. Create the same pipeline and stages; verify Won/Lost defaults after each build.
